PAYROLL (CHECKS/ DIRECT DEPOSIT)

Employees may either pick up their paycheck within their home department or request direct deposit.  The University discourages the mailing of payroll checks.  Department Heads should encourage employees to utilize direct deposit to eliminate the need for mailing paychecks.  If a department agrees to mail an employee’s pay check, the department is responsible for mailing the paycheck and notifying the employee of the mailing date.

BILLING (TIMECARD / DIRECT HIRE)

Timecard Maintenance refers to system functions that allow you to view and edit timecard entries created through the clock-in/clock-out process. You may also create new timecard entries and void existing ones, whether they were created automatically or manually. For example, use Timecard Maintenance to modify an employee’s timecard when the employee fails to clock-in or clock-out properly. Timecard entries also directly translate into payroll data, assuming the payroll data is not modified later.

TIMECARD ENTRY (INTERNAL & WEB TIME)

You use time entry to record and track the amount of time that employees spend working on different jobs, equipment, tasks, and so on. Within the Carezet Services, you can select several programs to enter timecard information. You can also select batch processing for uploading timecard information from third-party software. The time entry programs that you select depend on the structure of the company and the type of information that you want to track.

Payroll costs are related to obligations (expenses) assumed by an employer. They fund compensation paid to employees for their direct labor or as a consequence of mandatory benefits defined by legal requirements.

The sum of all the concepts listed above forms the accrued expense for keeping an employee on the payroll.

Under accounting principles, all accrued expenses must meet the matching principle. The matching principle states that all expenses need to match in the period when all the related revenues are reported (it does not depend on the payment date). For example, if an employee is hired on the first day of December but paid on.

Payroll checks and direct deposit advices provide current pay period and year-to-date details of all earnings, taxes, and deductions. The paycheck also outlines benefits provided by us, as well as PTO bank balances for all employees.

Other “After-Tax Deductions” may be taken from employees’ pay and are outlined accordingly on the paystub. These items are deducted after the employee’s taxes have been calculated and are primarily provided as a convenience to the employee.
